Introduction To DeskTime
A market leader in the domain of time tracking, DeskTime was developed out of the need of Draugiem Group, a Latvia-based IT company, to manage their employees better. DeskTime went online in 2011 with the primary objective of boosting workplace transparency and ensuring employees manage their time optimally.
Over the years, DeskTime has added tons of new exciting features and makeovers with major functional updates to ensure users get what they want in a time-tracking tool. The total time tracked by DeskTime users has crossed 81 million hours – over 9368 years!
As a business solution, DeskTime is committed to accountability, transparency, and fairness. It is the ideal tool to instantly eliminate unproductive work habits and boost employee productivity by up to 30 %!
Key Features Of DeskTime
Undoubtedly DeskTime is a holistic time-tracking application that caters to all your employee time-tracking needs. It goes beyond tracking only time and attendance by covering project management, data analysis, and invoicing. Let’s check out the key DeskTime solutions.
1. Automatic Time Tracking
With DeskTime, you can help your employees improve their time management skills and ensure your team maintains a healthy work-life balance. It enables users to see employee time spent on tasks, projects, and activities throughout the day or for a specific period.
The best part about DeskTime is that organizations do not need to spend time filling timesheets manually. A completely automated time-tracking system, DeskTime can be used by any industrial organization, freelancers, or project team members to track time for billing clients.
Time tracking can give you an in-depth view of your team’s workday. It enables managers to oversee the time spent on productive and unproductive applications and assess ways to help employees improve their productivity early on if necessary.
Automatic time tracking is the core strength of DeskTime URLs. App tracking allows you to categorize websites and programs into productive or unproductive for completing work tasks. You can access live Internet usage real-time data and calculate average employee productivity.
2. Offline Time Tracking
Organizations must be informed about time away from their desktops to get a 360-degree view of work productivity. DeskTime enables you to calculate any time spent away from your work device by manually logging the details in the time tracker. Employees can add their offline time freely, or you may set up a customized approval process to review the manual data about offline hours.
The offline time tracking feature is highly useful for billing clients for any work not performed online. You can bill customers for phone calls, meetings, or on-site work. It ensures proof of work and that no billable hours go unnoticed.
3. Absence Calendar
With DeskTime, you can ensure that employees collaborate with their teams by allowing them to view a real-time absence calendar. This helps you manage your workforce more efficiently and cater to team members away on vacation or extended leave.
The absence calendar is a highly beneficial tool that allows employees to log their out-of-office days. They can fill out a simple form with the reason for leave so that managers can review the leave application and accept or reject it. The absence calendar can be used to log sick leaves, vacation days, business trips, unpaid leaves, and conference attendance.
Another aspect that the absence calendar helps is the salary calculation – a glance lets you know how many days a specific employee has taken off in a month for personal or work-related reasons.
4. Project Management
One of the biggest advantages of DeskTime is that it is an intelligent project management tool that enables you to track time for specific work projects and tasks. You get a real-time status overview of the project tasks, manage employees’ workflow, and bill clients accurately for completed projects.
With the Projects feature, DeskTime allows a team or group of employees to work on a single project. It calculates the cumulative time spent on a project and tracks the individual contribution of different team members. With DeskTime, you can convert your time-tracking information into final billing through the invoicing feature to boost accuracy and save time.
5. Pomodoro Timer
DeskTime endeavours to maintain a happy and motivated workforce by encouraging regular work breaks. The Podomoro timer is a unique feature that can be activated to remind employees to take a break every 52, 60, or 90 minutes. This can help your employees achieve the highest productivity levels and achieve more in short periods.
The Podomoro timer is a tested method that prevents burnout and reduces mental fatigue. Using the Podomoro technique with DeskTime’s periodic reminders will motivate employees to exercise, eat food, or take a power nap to restore productivity levels to the peak.
6. Private Time Option
Your employees mustn’t feel threatened due to excessive monitoring at the workplace. DeskTime’s private time feature enables employees to feel safe if they need to perform any personal task during office hours. All they need to do is activate the private time option to stop tracking time and computer activity.
Since it is sometimes necessary to turn work time into personal time, DeskTime empowers employees to feel secure about their privacy. Employees can use the time for social media browsing, shopping, home calls, or any other personal work – private time allows them to do a digital time out to take care of any urgent personal business. Once finished, they must switch off the private time button to restart time tracking – a user-friendly and straightforward process!
With DeskTime, you can reduce all your manual invoicing processes and save time. It utilizes time-tracked data to create and issue accurate invoices to your clients. The best part is that you can easily view the sent invoices and keep a tab on their payment status.
Billing is a breeze with DeskTime. To calculate the total payment, you must select relevant tasks and add billable hours, rate per hour, and discounts/taxes. DeskTime automatically creates professional invoices with the total amount due and sends them to customers. It also sends timely reminders to ensure no defaults on payments, thus increasing operational efficiency.
8. Customized Reports
One of the most advanced features of DeskTime is customizable reports that display real-time data. You can get any information you need about employee productivity status, websites used during work hours, or time spent on specific project tasks.
Reports can be easily used to identify your teams’ working patterns and provide live feedback to improve performance. DeskTime lets you download and share reports with employees, clients, or other organizational stakeholders. With reports, you get a birds-eye view of how your team is spending time and can compare results over a period of time for in-depth analysis.
9. Optional Screenshots
With the rise of remote teams, investing in a time-tracking system is essential to ensure the company’s time or money is not wasted. DeskTime allows administrators to activate the optional screenshots feature to capture images of employee desktops and manage remote team productivity.
DeskTime lets you take screenshots every 5,10,15, or 30 mins in regular or blurred mode. The system checks for suspicious activity and highlights all unproductive screen captures for managers to take action.
The auto screenshots feature can be enabled for the entire team or specific employees. It is a great tool for identifying problematic workers and improving their performance. Not only that, but screenshots are also valuable for managing remote teams that are often paid by the hour.
The Final Verdict
DeskTime lets you go beyond merely tracking time – it’s a full-featured business application that ensures that your employees perform to the best of their ability. Investing in DeskTime can be a great way to build a culture of transparency, good work ethics, and open communication in your organization. It comes power-packed with innovative features, important third-party integrations, and an intuitive mobile application.
Overall, DeskTime gets a big thumbs up! Utilizing DeskTime to track time can do wonders for your team productivity and help your organization instantly increase bottom-line results in all functional areas.
Flexible work arrangements are the new normal! Organizations across the globe have transitioned to remote work models that facilitate a smooth work-life balance. Today, we are fortunate to have interviewed Mr Artis Rozentals, CEO of DeskTime. He talks candidly about his success formula and how he had a clearly defined roadmap for DeskTime’s growth over the years. A leading time tracking and management tool, DeskTime advocates for the employee as much as the employer. With this philosophy, Mr. Rozentals throws light on his journey, mission, and long-term vision for his product.
In Conversation with Mr. Artis Rozentals, CEO at DeskTime
Here’s an excerpt from the interview:
A warm welcome from SoftwareSuggest Mr. Artis Rozentals. Our readers are keen to know what prompted you to create DeskTime? Tell us about your journey so far?
DeskTime was created in 2011 as an in-house project for Draugiem Group's biggest project at the time – the social platform draugiem.lv. The idea was to create a tool to measure the team's productivity and hours spent at work since Draugiem Group has been an advocate for flexible working hours for more than a decade, allowing its employees to start work till 11 am.
It was essential to create fair working conditions so that people who arrived at work at 9 am could leave at 5 pm while those who started the working day later also left at a later time. The main idea of the time tracking software, from day one, was to increase workplace transparency between employees and management and to make sure work time is spent faithfully.
I joined DeskTime after five years as the head of marketing for one of the world's largest pharmaceutical companies GlaxoSmithKline. The internal application was already fully developed and widely used among the Draugiem Group team, and they'd realized that the tool could be helpful for other companies. So we decided to branch out.
What is your success formula? Something you have followed personally that has helped you in your personal and professional journey
One of our biggest formulas of success was the idea to outsource professionals of their respective fields. We made an effort to outsource as many business processes as possible. You don't need full-time employees during the beginning stages, besides outsourcing lets you move forward faster and easier. We did precisely that by outsourcing marketing, content marketing, SEO, advertising, and even design. This allowed us to stay in control of all our expenses and gave us a lot of flexibility while receiving professional services at the same time.
Now that we've grown our revenue and have significantly more projects on our hands, we've hired in-house staff. They're highly skilled professionals who work in-house and also manage outsourced teams that we continue to employ.
What was the biggest challenge that you faced while working towards DeskTime's growth and how did you overcome it especially in this New Normal?
We saw the fastest growth last year when the c19 pandemic hit. It didn't take long for the number of our new customers to triple. It was a lot to handle for our support team since we had to face unprecedented obstacles. Our customer portfolio changed considerably as the Indian market started to dominate, and we saw an increase in internet connectivity problems.
We had to take a long hard look at our goals and objectives. If we'd had a clearly defined development roadmap at the beginning of the pandemic, we now had to put that aside and shift our focus on the quality of our service. We doubled our support staff, introduced face-to-face demo calls for our clients, and promptly expanded the capacity of our servers. And we managed to do all that while working remotely.
Many people have proved that remote work can be just as productive (and sometimes even more so) than spending time in the office. They enjoy the flexibility this way of working can grant them. But employers need proof of work and some sort of oversight when it comes to managing projects and staff. And that's where time tracking comes in.
What separates DeskTime from its competitors?
DeskTime is a fully automated time tracking tool and we pride ourselves on the fact that the app is built to make work life easier. As far as time tracking goes, it might be one of the best tools to implement in your company’s day-to-day life. It’s a perfect aid for anyone who wants to become more productive and can help company managers get an overview of what’s going on. With a wide array of features that cover not only attendance and time tracking but offer a helping hand in project management, invoicing, and data analysis, DeskTime is one of the best time tracking and management tools out there.
But most importantly – DeskTime advocates as much for the employees as it does for the employers. We're not about spying on your team and being the all-seeing Big Brother. It's a tool that helps balance your work and private time, keeps the team accountable but not overworked, and offers precise data on why productivity is strongly linked to smart workflow practices.
How do you see the company changing in two years, and how do you see yourself creating that change?
I'm confident we're on the verge of a giant leap when it comes to our company development. Yes, the 2020 jump was impressive, with a +160% increase in turnover. But our future plans are just as ambitious – we're working towards a 50% increase in annual turnover.
We already see a significant shift in workplace habits. Now that the world is slowly adjusting to the new normal, we predict productivity software will become much more widely used. Remote work is the future reality. People want to continue combining remote work with office hours which means that time tracking will become a necessity.
With DeskTime adding new features and improving the app's functionality, our clients will see an even bigger impact on their team's productivity.
What new and exciting updates can we expect from DeskTime in the near future?
We're working on several improvements and new features. The few more notable ones are the web timer that will allow tracing time with DeskTime straight from the browser without the desktop app, Kanban boards in the Project section for even more efficient task management, and GPS tracking that will allow automated time tracking while away from the computer. DeskTime will also add Spanish to its system languages to make it more accessible to a large portion of our client base.
One thing I can say for sure – the future for DeskTime is bright because we have a team that truly believes in this product just as much as I do.
