Main Modules of SeQure

1. Visitor Management System (VMS)

Managing the inflow and outflow of visitors inside office premises can be difficult for a business. An unknown or unchecked visitor can put an organization at a lot of risk, and yet, having certain visitors inside the premises from time to time might be essential. However, tracking visitors is costly and time-consuming and requires personnel or gadgets for tracking visitors.

Considering the above challenges, SeQure created an intelligent and cost-effective Visitor Management System for organizations of all sizes. It has simplified its VMS through an integrated app called ARA to help with visitor invitations, tracking, and approval. 

Rather than having separate equipment or apps, which incurs additional costs, SeQure’s VMS uses a QR code-based checking system. This, along with face-identification technology, allows for contactless authentication, a definite plus today due to the Covid-19 situation. Additionally, it also allows employees to check their visitors’ temperature recorded at the gates. 

Let us now discover how the entire SeQure smart VMS process works. 

After receiving an employee invite, visitors scan the QR code shared to receive an OTP (One Time Password) on their phones. The visitor can fill in details regarding the person they are visiting, the purpose of the visit, and their assets. The host receives a notification via both Email and SMS that their guests are here to visit them. The guest also gets a tiny URL informing about their guest’s approval or disapproval.

Once an employee gets a link upon guests’ arrival, they can either approve or reject their entry, and the visitor is immediately notified about the same. Thus, the entire process is digitized, streamlined, and done without requiring contact or intervention. Visitors also get a favorable impression of your company, and it reduces their discomfort and delays.

2. Helpdesk Management System

SeQure also features a helpdesk management system to assist employees facing problems. Using the SeQure mobile application, employees can raise tickets for any concerns that they have. The user can add their exact concern, the department, the category and subcategory, and the priority of their concern in the ticket raised. They can also provide the asset’s ID (e.g., keyboard, mouse, computer) for which the concern is raised.

The employee raising the complaint ticket can view the person assigned to their ticket. Employees are also notified about the estimated time taken and the date for the concern to be resolved. The person responsible for resolving the issue is notified about the user and the ticket to be resolved. After the issue is resolved, the person in charge of closing the ticket has to put an update that the concern is resolved. The admin can then mark them as complete based on the resolution provided. 

SeQure’s helpdesk system also has various escalation levels if a ticket raised is not resolved within the timeframe given. The user can see the number of tickets raised and their status at any given time. The admin can view the status of all tickets submitted by various departments and the actions taken on them in real time. Depending on the action taken on the ticket, the admin can save the ticket as open or in-progress. 

Visual pipelines of the tickets allow the assignee to easily slide (Drag & Drop) the tickets through various stages, and the tickets raised can be in one of the four stages mentioned below:

  • Open: This signifies that a ticket has been created and is yet to be taken up.
  • In-progress: This implies that work is currently progressing on the ticket raised.
  • Awaiting Approval: This shows that work has been done on the ticket, and the admin evaluates the resolution provided before final approval for closure.
  • Closed: This indicates that the concerned admin has approved actions taken on a ticket, and they have marked it as resolved.

The above process ensures that employees’ concerns are met in time, and none are left unresolved.

3. Asset Management System

SeQure provides an affordable asset management system that helps keep track of a company’s movable and immovable assets. Every company asset can be made to have a distinct ID, and new IDs for assets can be created based on the location or department. The image of all assets with their names and product IDs can also be taken for easy identification. 

The system also allows assets to be tagged to a particular individual or group in an area. Assets can be saved into the system with additional data such as model numbers, vendor details, invoices, and location. Moreover, a separate QR code can be generated for each asset. The QR code of an asset can also be scanned to raise a ticket against it in case of any problem.

SeQure also allows its admins to check the status of each asset registered. Admins can filter assets by location, floor, etc., and check their logs and history. 

Additionally, reports for one or multiple assets can be generated in excel through the system. Such reports can come in handy during employees' full and final settlement. It also allows for several 3rd-party integrations for asset types to be tracked easily. 

4. Seating Capacity Management

Given the present scenario where a hybrid workforce system is being introduced, several employees are forced to work from home, and organizations are only allowing a section of employees to work from the office, SeQure has created a system to maintain the sitting capacity within an organization while maintaining social distancing. 

If employees want to work from the office on a certain day, they can apply for a ‘Work From Office’ request through SeQure’s Flexible seat management system. The managers (admins) are immediately notified about the request. Managers can view all the seat requests made for a particular day and approve them based on employees’ reasons and business priorities.

Once the managers/admins approve their access requests, a QR code is sent to employees that they can use at the gate or reception to enter the premises. The system can also map the exact seat number and floor slotted to an employee. What’s more, the seating capacity management software also integrates with Google Maps to guide employees to their seat location. Firstly, a warm welcome from SoftwareSuggest Mr. Rajesh; our readers are eager to know about your & Heptagon's journey so far. So tell us, how did it all start?

Heptagon was founded by myself (Rajesh Sankarappan) and 2 of my friends. Vignesh Rengasamy, Vijay Veera, and I had been close friends since our 6th grade. We've been building Digital Solutions since 2009 and we have been a part of the core team of startups backed by mega institutions like the New York City government and behemoths like BMW. We are first-generation entrepreneurs who took the road less taken pretty early on in our lives and had our share of challenges and achievements over the journey.  We got involved in startups even before the whole idea went mainstream in India.

What prompted your foray into Digital Transformation? When and how did you discover the need and opportunity behind it?

In 2015, we had the opportunity to meet Mr. Ajit Isaac, Founder & Chairman of Quess Corp. Ajit was another first generation entrepreneur, and we were inspired by the way he took his company from a 3 bedroom apartment all the way up to the stock exchange. We were smitten, and we wanted to stop doing startups and start building a proper enterprise. We chose Digital Transformation because of our vast experience in creating practical solutions for real-world problems.

To give an example, when we began with Quess Corp in 2015, they were India’s 5th largest private employer with technology on the side. Today, they are India’s largest private employer with technology on the forefront, and Heptagon is an associate company of Quess Corp.

Though a large part of our revenue is from the IT services space, we are product people at the core. Before 2015, we were exploring, building, failing, learning & succeeding on mobile-first products. What is your success mantra? Something you have followed personally that has helped you in your journey

The three of us, by nature and by socio-economic molding, are always grounded. Hence, we genuinely respect talent & people for who they are. Degrees & Institutions are things that we respect but cultural fit and hard work are things we respect even more. This essential element is something that permeates throughout the organization. 

How has your sales & marketing strategy evolved during the shift from normal to new-normal?

Being a digital solutions company, COVID-19 played a significant positive role in accelerating our growth. Hence, the new normal amplified our existing sales & marketing strategies especially for our SeQure (www.sequre.app)

What is your vision and plan for taking Heptagon to greater heights in the next 5 years?

As mentioned earlier, we embarked on this journey smitten by the obsession of building an enterprise. The next 5 years are going to be critical to the journey where we explore various new geographies and build the world’s most effective and optimal Digital Catalyst for business growth, specializing in Data Transformation, the first step for any Digital Transformation exercise.  

What is a Digital Catalyst? - Like any other catalyst in a chemical reaction, the Digital Catalyst aids in accelerating the process without changing the core DNA of the elements involved. 

Digital Transformation is a rapidly evolving field that has impacted several other industries. What do you think the future holds for this industry, especially with Blockchain, AI, and Machine Learning in the mix?

Digital transformation is like building a car. While Blockchain, AI, ML, or IoT can aid to make the various parts of the car, its fuel is going to be the most important. And the fuel for DT is Data. 

Processing the fuel has an L minus 1 and L plus 1 step. Data Integration, Data Transformation & Data visualization. The excitement begins when we start with converting atoms to bits, ink to zeros & ones. 

So, the below is more important for an enterprise even before they start thinking about Blockchain or AI. Hence, Data X Algorithms X Action = Revenue

What advice would you give to young entrepreneurs starting out in this field?

Everyone has their own timeline and journey. Don't worry about what other people are doing - just focus on what's right for you.

Tell us about the biggest learning you have gained from your journey so far.

People before profits. If you respect your people, your colleagues, your clients, your investors, give them your unbridled support and live up to their trust, then that’s the best investment you can make. The returns from that investment will power your exponential growth. 

What motivates and strengthens you to keep up with the competition?

Our main motivator is the COMVID, the Complacency Virus, which stalls the growth of the business. Complacency usually stems from organizations’ inability to leverage valuable data and derive insights out of it. This is what we don’t just preach but also practice.

Good application

We have this visitor management solution in our office's at Bangalore and it was really useful in managing your visitors. Also helpful to the frontoffice persons and facility manager. Gone are the days of entry notebooks and now all our data is in cloud and at our fingertips - can be retrieved at any time and make insightful decisions.
