Taskade Description
Here's the comprehensive description of Taskade. Gain a brief understanding of its unique features and exceptional benefits.
Since the beginning of time, humans have relied on collaboration and communication to conquer mammoth tasks and advance themselves. Humans realized pretty early that what one man cannot accomplish single-handedly can be done easily with a group effort. This was the basis of foundation of our civilization.
Modern technology has revolutionized collaboration and made it possible for people from far away to work together seamlessly. In fact, 83% of today’s employees depend on technology for collaboration. Today there are multiple tools that help people work together and get tasks done. However, not all offer the right blend of features and flexibility for proper teamwork.
Most modern collaboration and task management are created primarily for office work and often ignore the needs of other teams who want to collaborate. Let’s take an example of a group of musicians spread across the globe who want to collaborate on an album; or a team of students who wish to collaborate on a science project. There are hardly any applications that provide them with the necessary features and flexibility.
This review will focus on Taskade, a unique collaboration and task management tool that takes care of your ideas, tasks, and teams to help you get the most out of them. Rather than being a formal or informal collaboration tool, Taskade aims to be a wholesome productivity tool that enables you to manage and keep a note of everything on your mind, no matter the nature of the work.
Since the human brain retains visual information much better than words, the makers of Taskade paid special attention to aesthetics. There is also a feature called ‘MindMap,’ which helps you group tasks visually. There are several other collaborative features that we will be discussing in the detailed review below.
This review will unpack the following:
So let’s dive right in and discover what this application is all about.

Taskade is a visually stunning and user-friendly collaborative tool that makes it easier to work on tasks together, ensuring that all members are on the same page. It offers powerful collaboration features that make working together a breeze while keeping track of the progress made on each task and its components.
This comprehensive task management software allows team members to access and update centralized data, ensuring that all steps, from ideation to implementing a plan, are done while keeping everyone in the loop. Every project step can be shared, tracked, organized, assigned, divided, updated, and prioritized using Taskade, ensuring that the entire team is on the same page at any given time.
Taskade also allows for multiple communication channels, including video calling, chat, and notes. Also, you get an array of emojis. You can also customize the type of notifications you want on your desktop, emails, and mobile applications.
There are also several ways to view, tag, and highlight your tasks. Moreover, you can add live notes, comments, and attachments to tasks and easily integrate them with your calendar. Best Features of Taskade
There are multiple features of Taskade that set it apart from other productivity tools. In fact, with its stunning yet simple UI, which is highly customizable, you might feel that it isn’t a productivity app at all.
Taskade improves teams’ efficiency while keeping it fun and allows features that help members stay updated, organized, and do more. Whether you are a pro or a novice, whether it’s an official task or a passion project, Taskade’s got you covered. Here are a few key features that make Taskade a class apart:
1. Nesting System
Taskade allows you to segregate teams based on their specialty and create nesting systems based on the type of tasks. Thus, if you have a team of designers and a team of developers, for example, you can separate them and keep them under separate subspaces. You can invite members to subspaces and assign them specific tasks according to their skills. You can also have shared spaces where your entire team can interact.
Separate channels for your teams allow you to compartmentalize work and conversations and avoid confusion.
2. Project Management and Labeling
Another great feature of Taskade is that it allows you to add labels to projects based on priority. Once a project is assigned to a member, they receive notifications and the timeline by which it needs to be completed. Tasks can also be pinned and filtered by priority so important tasks are never missed.
Each project can be made to have a To-do list and a due date. You can also set up custom task reminders and leave additional notes and attachments. The members assigned also get a notification when notes, comments, or attachments are added to a project. This way, members don’t miss a beat and can always be updated about projects. The calendar for each member can also be viewed by others so that everyone knows what each team member is working on.
3. Project Viewing & Permissions
It is often hard to keep track of different projects and teams you are working on, so Taskade allows you multiple views. You can choose among the ‘List View,’ ‘Board View,’ ‘Mind-Map,’ and ‘Orchard View’ in Taskade, depending upon what works best for you.
You can also assign permissions to team members as Viewers or Editors based on their role in a project. Additionally, you can add or remove people from projects easily using this application.
4. Templates
Perhaps a unique feature of Taskade is the wide assortment of templates for you to work with. It has templates that you can set up for official meetings and use for less formal meets. Taskade also plans to introduce premium templates for those who hate working with the same boring backgrounds.
5. Crosslinking & Hyperlinking
Another impressive feature of Taskade is that it allows connecting projects within your workspace using the ‘@’ function. Thus you can easily find and link related projects, which saves you much time.
Additionally, you can also hyperlink tasks and subtasks, allowing members to get better references for tasks.
Other exciting features of Taskade include light & dark modes, task duplication, affordable plans per workspace and user, and easy integration with Google Calendar.
Final Thoughts
With a stunning UI galore of templates, easy notifications, and a bunch of tools for easy collaboration, Taskade is undoubtedly in a league of its own. It also plans to introduce Offline Mode, more backgrounds and templates, and additional file upload space in its upcoming premium versions, which will make it even better in the coming days.

In conversation with Mr. John Xie Co-founder & CEO of Taskade
We are lucky to have interviewed Mr. John Xie, the CEO, and Co-founder of Taskade, to tell us about his and his company's journey so far and the road ahead.
Here's an excerpt from the interview:
Dear John, firstly a warm welcome from SoftwareSuggest. Our readers are eager to know about your journey so far.
Hi, I'm John, co-founder, and CEO of Taskade. We founded the company back in 2017 in New York and Singapore, with a clear mission, to create a real-time organization and collaboration tool that is a simple yet sophisticated platform for getting things done.
Our team since day one has been remote, and the founders have worked together over the years in a fully distributed workplace, spanning across multiple time zones.
Taskade today lets you map things out in mind maps, organize and manage tasks, and communicate with your team in chat or video, all on the same page, in one unified workspace. Taskade is truly the all-in-one workspace for remote teams.
What differentiates Taskade from its competitors?
Taskade's main focus is to help remote and distributed teams get things done in one unified workspace. You can manage tasks, write product specifications, and video chat with your team, all on the same page.
Cost-wise, Taskade is essentially free to use for personal individuals and growing teams. Our free tier has unlimited usage limits, and unlimited team members can be included for free compared to other collaboration tools.
Our project editor is much simpler, more visual, and due date/project-driven, instead of wiki/documents driven. With one project (same data), you can transform and visualize it in multiple views and collaborate in real-time using:
- Task list view
- Mind map view
- Kanban board view
- Action sheet view
- Org chart view
What prompted you to come up with such a unique collaboration & communication tool?
We were tired of having to hack together multiple tools to get work done and wanted one single place to manage tasks, organize and write product specs, and chat and communicate.
The idea behind Taskade is also to build a new way to think, visualize data, in an infinite hierarchical tree structure, so you are able to connect the dots and create infinite webs of thoughts, tasks, action items, and notes. Then visualizing it across multiple persistent views.
Taskade ultimately lets users transform a task list into a mind map, into a kanban board, so you have the most powerful, simple, and flexible productivity system, all in one.
How has new-normal shaped Taskade's journey? Any interesting numbers/ statistics that you would like to share?
We have seen a significant increase in demand since the Covid-19 hit, and that has only pushed our team to go even faster on our product roadmap. We are still very much focused on product and customer development as we get towards our original vision of Taskade. It is closer than ever before. To build one simple yet sophisticated platform for getting things done.
Was it a conscious decision to make Taskade more inclusive and customizable, given that there is an overflow of basic communication tools in the market?
Yes, we wanted to build a productivity platform that is collaborative, multiplayer, and yet flexible for everyone on the team.
Meaning I can create a project and work in the 'task list' view while working on the same project, in mindmap or kanban board view. The projects are fluid, they are truly alive.
Given that Taskade is created especially for remote teams, and most teams are working remotely due to the current pandemic, how has the engagement been? Has Covid-19 been a blessing in disguise?
It has indeed; however the bar is much higher now than ever before, given every team is a remote team. We have to double down on simplicity, and ease of use, as more teams are finding it tough to switch to remote working completely, Taskade is here to help them understand what it means to collaborate both in real-time and asynchronously.
What features and updates can we expect from Taskade in the near future?
We are rolling out many exciting improvements to Taskade. This includes the ability to schedule reusable templates for your personal or team workspace along with the ability to import and upload files from Google Drive, Dropbox, Instagram, One Drive, Box.com, and others.
And of course, more ways to share and collaborate on the same page. This means more VIEWS on the projects, from GANTT Chart views to Table views and more for Taskade. Stay tuned on
What advice do you have for young entrepreneurs starting out in this field?
Ans: Apply to Y-Combinator. Learn about startups through their free Startup School program. It is never too late, or too early to step out of your comfort zone and simply start building. Keep sailing and don't give up.
Tell us about the biggest learning you have gained from your journey so far?
I've personally had both successes and failures in the past for my startups, and a common theme I have been following is to keep on iterating, to "really" talk to the customers, to not give up so easily, and ultimately to survive through fundraising or revenue towards profitability. Every startup as Paul Graham says is by default dead until you are alive.
What is your personal success mantra?
Not my quote, but something I live by:
- Success is never final.
- Failure is never fatal.
- It’s courage that counts.
What motivates and strengthens you to keep up with the competition?
The chance for Taskade to help and touch millions of people and teams around the world, to help them become more organized, productive, and have a sense of belonging together, in a remote and distributed workforce.
Reading customer feedback and talking to our customers, and seeing their passion and love for Taskade.
